Experience: 3-5 years office/administrative experience preferred
Essential Functions and Requirements:
This position will assist two Property Managers with the daily management of a portfolio of commercial properties. We’re looking for a team player with a positive attitude and excellent written and verbal communication skills who will provide outstanding customer service to our tenants, vendors and clients. Duties will include but not be limited to the following:
Communicate directly and daily to the Property Managers
Scheduling meetings/calendar work for Property Managers
Create owner’s reports and be able to explain financial activity. Assist with the preparation and organization of spreadsheets, letters and other documents as needed
Complete special projects; compile information
Multi-line phone answering and transferring
Assist Managers with building operations, dispatch maintenance requests and coordinate repairs, procure vendor bids and track service calls
Answer and respond to calls and emails from tenants, vendors and clients in a timely, professional manner
Draft correspondence to existing clients and tenants
Maintain tenant lease files and assist with all aspects of lease administration
Draft lease abstracts and accounting change forms for Manager approval
Track tenant delinquencies within portfolios
Proof monthly tenant charges and property expenses for Manager approval
Real estate/property management experience a plus
Detail oriented with good proofreading and writing skills
Excellent organizational skills and ability to multi-task with people, phones and projects
Ability to prioritize job duties accordingly to meet deadlines
Professional demeanor, strong interpersonal skills, and the ability to provide a high level of customer service
Basic understanding of accounts receivable/payable, budgeting and monthly property reporting
Demonstrate proficiency in Microsoft Office including Word, Excel, Outlook and Adobe PDF. Skyline or other property management software a plus.
Experience reading/administering leases a plus
Ability to follow office procedures and practices and handle tasks without direct supervision or direction
Possess a can-do attitude and willingness to jump in and help out all positions in a fast-paced, positive working environment
Demonstrate high level of professionalism and integrity
Possess self-starter attributes while being willing and able to problem solve
We are looking for a professional, friendly, accurate, detailed-oriented individual who is willing to take over an existing portfolio within a medium-sized commercial management firm. After training, given current COVID-19 considerations, this position will alternate work on a rotating schedule between 2-3 days in office and 2-3 days working remotely for a standard 40-hour work week.
