The Assistant Property Manager is responsible for assisting the property manager in maintaining the day-to-day operations of a portfolio of commercial properties. This individual will possess some experience in “hands on” real estate Property Management with retail experience, and will have exceptional analytical and communication skills, must be a self-starter.
Key Responsibilities:
Maintain day-to-day relationships with tenants and troubleshoot tenant issues regarding rental and NNN payments.
Responsible for receiving maintenance phone calls and inquiries from Tenants, troubleshooting solutions with appropriate vendor, see resolution through to completion with minimal oversight.
Prepare notices to Tenants regarding construction and delinquent payments.
Prepare Deal Sheets and other backup forms for lease renewal and assignments.
Prepare vendor contracts as directed by the Property Manager.
Obtain bids for property maintenance repairs and prepare spreadsheet and memo for Property Manager’s review.
Review required insurance certificates when necessary.
Assist assigned Property Manager in an administrative function to complete team projects in a timely manner
Assist in collecting and tracking COI and gross sales as necessary; review COI’s for proper coverages/additional insureds.
Assist in turning on and off utilities for vacant spaces when leased or when tenants vacate.
Ensure all move-in/move-out paperwork is completed correctly and has been approved by the property manager as well as entered into on-site property management software system.
Partners with Property Manager to ensure that all fire life safety inspections and maintenance inspections are completed as required.
Works with property manager to minimize expenditures, maximize revenues and adhere to budgeted cost parameters.
Review and coding of vendor invoices.
Coordinate document preparation and inter-office correspondence with Corporate office.
2-3 years of experience in Commercial Real Estate with an emphasis on retail properties
AZ Real Estate License is required
Experience with MRI is a plus
Intermediate to advance skills in Microsoft Word, Excel, and Outlook
Attention to detail and accuracy
Strong communication, organization and problem-solving skills
Ability to provide efficient, timely, reliable and courteous service to customers
Ability to effectively present accurate and real time information
General understanding of accounting and real estate principals is a plus
Travel required (approx. 25%); at least once per quarter and as needed
